Invoice Billing for Schools
How schools can pay for LearnSpace via annual invoicing, manage purchase orders, and handle GST-inclusive billing within their existing financial processes.

Invoice Billing Overview
LearnSpace understands that schools in Aotearoa have specific financial processes. That is why we offer annual invoice billing, making it easy to align LearnSpace costs with your kura's existing budgeting and procurement workflows.
How Invoice Billing Works
Requesting an Invoice
Once your 7-day trial ends and you are ready to subscribe, navigate to Settings > Billing in your admin dashboard. Select Invoice as your payment method. You will be asked to provide:
- School name and address — as they appear on official documents
- Accounts contact — the name and email of the person who handles invoices at your kura
- Purchase order number (optional) — if your school requires a PO for all purchases
Receiving Your Invoice
LearnSpace will generate and email a GST-inclusive invoice to your nominated accounts contact. Invoices are issued annually at the start of your billing cycle and include:
- Plan name and tier
- Roll size at the time of invoicing
- Annual subscription amount (GST inclusive)
- Payment terms and bank details
Payment Terms
Standard payment terms are 20 days from the invoice date. Payments can be made via bank transfer to our New Zealand bank account. Details are included on every invoice.
Purchase Orders
Many schools require a purchase order before approving expenditure. LearnSpace supports this by allowing you to attach a PO number to your subscription. Simply enter your PO number in the billing settings or include it when requesting your invoice.
If your school's procurement process requires a quote before issuing a PO, contact us at support@learnspace.nz and we will provide a formal quote promptly.
Managing Your Billing
Updating Billing Details
You can update your accounts contact, school address, and PO number at any time under Settings > Billing.
Roll Adjustments
If your school roll changes significantly during the year, your plan may be adjusted at the next billing cycle. We will notify you in advance of any changes to your subscription amount.
Viewing Past Invoices
All invoices are stored in your billing dashboard. You can download PDF copies for your records or forward them to your accounts team.
