Invoice Billing Overview

LearnSpace understands that schools in Aotearoa have specific financial processes. You can request annual invoice billing instead of paying by card — ideal when your kura needs a purchase order or accounts-payable workflow.

How Invoice Billing Works

Requesting an Invoice

Open Billing from the sidebar footer in your school admin dashboard. Choose Pay by invoice and provide:

• Accounts contact name and email — who receives the invoice at your kura
• Billing address — as it should appear on the invoice
• Purchase order number (optional) — if your school requires a PO before approving spend
• Roll size — used to calculate your annual subscription amount

Your request is saved with status pending invoice. App access begins after our team activates your subscription (usually once procurement is confirmed).

Receiving Your Invoice

LearnSpace will send an invoice to your nominated accounts contact. Invoices are issued annually and include:

• Kura plan and roll size at the time of billing
• Annual subscription amount
• Payment terms and bank details

We do not yet generate PDF invoices automatically in the app — our team prepares and sends them manually.

Payment Terms

Standard payment terms are 20 days from the invoice date. Payments can be made via bank transfer to our New Zealand bank account. Details are included on every invoice.

Purchase Orders

Many schools require a purchase order before approving expenditure. Enter your PO number in the invoice request form, or include it when you contact us. We can reference it on your invoice.

Switching from Card to Invoice

If you started on card billing and need to move to invoicing, contact support@learnspace.nz and we will help you transition.
